Mandatory Fields

Setting Purpose
Language The user's language. Determines the language of the interface as well as which language should be used for email texts (see Default Language). The user can change the language independently within their Profile.
Name First and last name of the user.
Email Address The user's email address.
Username (Login) The user's login name in the Login Mask. For convenience, it is recommended to use the user's email address here as well.

Optional Fields

Setting Purpose
Note A note or description can be used here for the user. This field also functions as search text in the search field in the User Overview.
Mobile Number Used for the emergency folder. Assigned users in the emergency folder.
Disable User Disabled users can no longer log in and will not receive any file notification emails.
Require Two-Step Authentication The user will be forced to set up two-step authentication upon first login. Instructions are available to the user during setup.
Additionally Create Group and Folder for User Automatically creates a group and folder with the same name when saving the user, and assigns this folder to the user and the creator of the user via the group. The name of the group or folder can be determined either by the name or username.
Send Email to Set Password After Saving If enabled, the user will receive an email prompting them to set their password after saving. If you want to send this email at a later time, you should disable this checkbox as well as the welcome email checkbox, and then click on reset password in Edit User to send this email.

Settings for the user such as folder permissions and automatic email notifications can be created once the user has been set up.

Login Notice

With the login notice, a custom message is displayed to the user after each login.

A logo and formatted text can be entered for this purpose. By clicking on Preview, this can be displayed.

With the checkbox Enable login popup for user, this function can be activated or deactivated at any time.

Global Permissions

This section defines what permissions the user should have. These are the "global permissions," meaning that these permissions apply to every folder in which the user is assigned via a group.

If it is desired that the user has different permissions in a specific folder, "folder permissions" are used, where the permissions can be adjusted per folder.

Folder permissions thus override the "global permissions." For more information, see Folder Permissions.

Superadmin See Superadmin.
PDF View Allows the user to use the PDF View for PDF files. The PDF view prevents downloading or printing. The user can only view the PDF file.
Download Allows the user to download the selected file, provided that downloading is not prohibited within the file itself.
Upload Allows the user to upload files to the assigned folders.
Edit Own Files Allows the user to edit files that they have uploaded themselves.
Edit Others' Files Allows the user to edit files that were not uploaded by them.
Delete Own Files Allows the user to delete files that they have uploaded themselves.
Delete Others' Files Allows the user to delete files that were not uploaded by them.
Administration Grants access to the administration menu and the ability to manage program settings, folders, users, etc. This right can be further restricted. See Superadmin.
File History Grants access to the File History, where all file actions, such as when the file was viewed and by whom, are listed.
Send Notification Grants access to the File Notification Button to manually notify specific users about a file. This is not needed if an automatic email notification is set up for the user. This right only applies to manually sending notifications afterward.

Deleted Files

A log of deleted files can be viewed by users with the Administration right. However, once a file is deleted, it cannot be restored.

Groups

Determines which folders the user can see.

What the user can then do in the folder is determined by the "global" or folder permissions. Folder permissions override global permissions. To understand what a user can actually do in a folder, the permission check feature is available.
