Objects
Here it is possible to set various preferences for creating folders, users, and groups, as well as to control the behavior of objects such as files, folders, and groups.
This allows the DocSecBox to be more precisely adapted to the requirements of the administrator, thereby minimizing the administrative effort.
After changing a setting, please press the Save Settings button.
| Setting | Purpose |
|---|---|
| Highlight read files | When enabled, a file in the main menu will be marked green for the user if the latest version of the file has been retrieved or downloaded. |
| Automatically delete large files after X hours | If the Big-File add-on feature has been purchased, the time can be set here after how many hours after upload the file should be deleted. |
History of deleted files
Deleted files are logged by default in the DocSecBox. Here you can see who deleted which file and when.
| Setting | Purpose |
|---|---|
| Preselect create additional group folder in Create User | If enabled, this option will be selected by default when opening the Create User dialog. |
| Preselect send notification in Create User | Useful if users should be allowed to send email notifications by default. |
| Setting | Purpose |
|---|---|
| Preselect create group for folder in Create Folder | Useful if a new group should always be created for a new folder. This is especially useful if the folder is to be assigned to different users each time, and existing groups are not suitable. See wizard. |
| Preselect deactivate folder after X days in Create Folder | Useful if folders should be hidden from the main menu after a certain time to keep the main menu tidier. Especially useful if files within the folder are only needed for a certain time. See edit folder. |
| Preselect delete files within folder after X days after first access in Create Folder | Useful if a file should only exist for a certain time, and hiding the file is not sufficient. Especially useful to keep a frequently used folder tidier. See edit folder. |
| Preselect groups in Create Folder | Useful if certain groups should always be included in a new folder (e.g., management). The desired groups can be selected here within the list. |
| Automatically create subfolders after Create Folder | Useful if the same subfolders should always exist for a folder. |
| Assign the same groups to automatically generated subfolders | Especially useful if the same groups should have access to the subfolders without having to edit the subfolders afterwards. |
| Create status after Create Folder | Automatically creates status when a new folder is created. Especially useful if status should be used in every folder. See edit folder. |
| Also create status for automatically generated subfolders | Useful if the automatic subfolder function is used and the status should also be automatically created for these. |
Here settings for group admins are set.
Group admins
Group admins are able to manage their group themselves. This means that the administrator hands over user management within their own group. This is useful if, for example, third-party companies also want to use the DocSecBox and the "normal" administrators should be relieved.
Appoint group admins
To appoint a user as a group admin, a checkmark can be set for the corresponding user in the "Edit Group" window. This user will then receive a new button in the main menu, similar to the "Administration" button in the main menu of the "normal" administrators. For more information, see the group admins documentation.
| Setting | Purpose |
|---|---|
| Enable group admins | Enables or disables the functionality. |
| Create users for their own groups | When enabled, the group admin can create users for their own groups and assign them to the groups where the group admin is assigned as group admin. |
| Edit users in their groups | When enabled, the group admin can edit users who are in the groups where the group admin has been assigned as group admin. Folder permissions and automatic email notifications are excluded from this. |
| Can see all users | By default, the group admin only sees users who are already in at least one of their managed groups. If the checkbox Create users for their own groups is selected, new users can be created and assigned only to the groups where the group admin is assigned as group admin. If the group admin should also be able to see existing DocSecBox users outside their managed groups, to assign them to their groups if needed, the checkbox Can see all users must be selected. |
| Manageable global user permissions | Determines which global permissions the group admin can decide on. It is important not to forget that this permission can apply to any folder unless overridden by folder permissions. So also folders that are outside the reach of the group admin. |
| Reset passwords for users in their groups | If enabled, the user can be forced to change the password (via email). For example, if the user has forgotten their password. |
| Reset two-factor authentication for users in their groups | If enabled, two-factor authentication can be reset if there is no access to the two-factor code. |
| Delete files in folders that are in their groups | If enabled, the group admin can delete files in the folders assigned to them through the group admin group. |
