Overview
With a public folder share you pass the files of a folder on to people who have no account in the DocSecBox. They receive a link or a QR code and use it to see exactly this one folder. They do not need to sign in.
Paid add-on module
The public folder share is a paid add-on module. Your administrator can see whether it is unlocked for your DocSecBox under Settings › Application › License. Without the module, share links cannot be opened.
What a share is good for
A share is meant for recipients for whom an account is not worthwhile: the authority collecting a form, the prospect receiving a brochure, the customer getting documents once. Anyone who exchanges files with you regularly is better off with an account of their own and a membership of the folder, see Members.
Sharing a folder
Only administrators see the Share tab of a folder.
- Select the folder in the File Explorer.
- In the detail panel to the right of the list, open the Share tab.
- Click Set up share.
- Under Share settings, decide whether downloading is allowed, how long the link is valid and whether a PIN is required.
- Click Save.
- Pass on the address from the URL of the folder share field, or click Show as QR code... to show it as a QR code or download it.

The settings of a share

| Unlimited | The link has no end date. If you clear the checkbox, choose a date until which the link is valid. |
| No PIN | The link opens without any further question. If you clear the checkbox, set a PIN that recipients have to enter. |
You can change the settings at any time, even after the link has been handed out. The address stays the same.
Ending a share
If access is only meant to last for a while, set an end date. If it is to end at once, click Deactivate share in the Share tab and confirm with Deactivate.
Deactivating is final
Deactivating discards the address. Links already handed out and printed QR codes no longer work afterwards. If you set up the folder again later, it gets a new address that you have to hand out again.
Good to know
- Whoever has the link gets in. Protect confidential documents with a PIN and an end date.
- Recipients only see the files of this folder, no subfolders. They also do not see files that are not active yet or no longer active.
- If the folder itself is deactivated, its share does not work either.
- Shared folders carry a symbol of their own in the list (hint Public share active).
- Accesses through the share appear in the History of the file. There is no name, because the recipient has no account.
