Glossary

This page explains the terms you meet in the DocSecBox and in this manual, each in a few sentences.

Administrator

An account that manages the DocSecBox for your company. Administrators create users, groups and folders and assign permissions. They see the entry Settings in the navigation bar. For questions about your account or about missing folders, your administrator is the right person to ask. See Settings.

Detail panel

The column to the right of the list in the File Explorer. It shows the folder or file you clicked in the list, with tabs such as Info and History. If nothing is selected, it says “Please select a folder or file”. On a smartphone the detail panel opens as a page of its own.

Emergency folder

A folder that is marked as an emergency folder. When a new file arrives in it, the DocSecBox immediately notifies the people assigned to the folder by text message. Depending on the setup, an email is sent as well. The Emergencies filter lists all emergency folders.

Express upload

The drop area Drop files here… below the list of a folder. If you drag files onto it, they go straight into that folder. The same area is also available under Express upload in the folder's Info tab. See Upload.

Favourites

Folders you have marked with the heart . The Favourites filter finds them again quickly, wherever they are. See Favourite folders.

Filter bar

The narrow column on the left of the File Explorer. It holds the search field and the filters All, Unread, Favourites and Emergencies. See Filters.

Folder

A container for files, as on a computer. Whether someone sees a folder depends on whether they are assigned to it through a group or directly. Folders can contain subfolders.

Group

Several users brought together under one name, such as “Sales”. Users and folders are assigned to a group. Every member sees the folders of their groups. Groups are created by your administrator. See Permission system.

Group administrator

An account that manages the members of certain groups without being an administrator. In the interface this role is called Group admin. Group administrators work in Group management. They do not assign folders. See Group administration.

Identifier

A free text attached to a file, for example “Invoices” or “August 2026”. The identifier lets you find the file again in the search. The identifier is not the same as the status.

The column on the left edge. It takes you to the File Explorer, Settings and the other areas. At the bottom it shows your tenant, the end of your session and your name. On a smartphone it is collapsed. See The user interface.

A paid feature that goes beyond the basic scope and is unlocked separately by the licence. The add-on modules are API access, Large files and Public folder share. Without a licence they do not appear in the interface at all. See License.

Path bar

The line above the list in the File Explorer. It shows which folder you are in, starting from the root. Clicking a folder name in it takes you back there. On the right is the New... button.

Permission

Determines what you may do with files, for example view, upload, download or delete them. Your administrator assigns the permissions for your account. They can differ for a single folder. You can see your own permissions in your profile under Permissions.

Root

The top level of the File Explorer, labelled Root. The path bar starts here, and from here you open your folders.

Session

The time during which you are signed in. As long as you are working, it extends itself. If you do not work for a while, the DocSecBox signs you out; the default is 15 minutes. When your session ends is shown under Session ends: at the bottom of the navigation bar. See Automatic Logout.

Share

Access for people who do not have an account in the DocSecBox. There are two kinds:

  • A file share passes on a single file with a link and a password. It always expires on a fixed date. See Share.
  • A public folder share gives a folder an address of its own, as a link or a QR code. Whoever opens it sees the files of that folder. It is a paid add-on module and is set up by administrators. See Shares.

Status

A marker for how far the work on a file has got, for example “Waiting for reply”. Which statuses exist is defined per folder. See Status.

Subfolder

A folder inside a folder. A subfolder has its own assignments: whoever sees the parent folder does not automatically see the subfolder. When you create one, you can take over the groups of the parent folder, see Create folder.

Tenant

Your company's area in the DocSecBox, with its own users, groups, folders and settings. An installation can have several tenants, which are kept separate from each other. If your account belongs to several, you choose one when you sign in. The name or logo of your tenant is shown at the bottom of the navigation bar.

Two-factor authentication

A second step when signing in. After your password, you enter a code shown by an authenticator app on your smartphone. That way nobody gets into your account with your password alone. You set it up in your profile, see Two-Factor Authentication. Your company can also make it mandatory; you then set it up when you sign in.

Unread

A file is unread as long as you have neither viewed nor downloaded it since it last changed. The number next to File Explorer counts your unread files, and the Unread filter lists them. Mark as read clears several of them at once.
